1. Information We Collect

We collect information you provide directly when creating an account, including your name, email address, company name, and billing information. When visitors use your captive portal, we collect the data fields you configure (such as name, email, phone number). We also automatically collect usage data including IP addresses, browser type, device information, and access timestamps.

2. How We Use Your Information

We use the information we collect to: provide, maintain, and improve the Service; process transactions and send billing notifications; send service-related communications such as usage alerts and system updates; provide customer support; generate aggregated analytics and reports for your dashboard; and comply with legal obligations. We do not sell your personal data or your portal visitors' data to third parties.

3. Data Storage and Security

All data is encrypted at rest using AES-256-GCM encryption and in transit using TLS 1.3. Our infrastructure is hosted on secure, SOC 2-compliant data centers in the United States. We implement industry-standard security measures including rate limiting, input validation, and regular security audits. Access to production systems is restricted and audited.

4. Third-Party Services

We use select third-party services to operate the platform, including payment processors for billing, email delivery services for notifications, and infrastructure providers for hosting. These providers are contractually obligated to protect your data and may only use it to perform services on our behalf. We do not share portal visitor data with third parties except as necessary to provide the Service.

5. UniFi Network Data

When you connect NerdPortal to your UniFi controller, we access network data necessary to authorize guest devices and manage access. This includes device MAC addresses, connection timestamps, and session durations. We do not monitor network traffic content. Controller credentials are encrypted and stored securely, accessible only for authentication purposes.

6. Data Retention

Guest submission data is retained according to your subscription plan: 30 days for Starter, 90 days for Pro, and 1 year for Enterprise plans. You may export your data at any time before it is automatically purged. Account data is retained for the duration of your subscription and 30 days after account closure. You may request immediate deletion by contacting support.

7. Your Rights (GDPR/CCPA)

Depending on your jurisdiction, you may have the following rights regarding your personal data: the right to access and receive a copy of your data; the right to rectify inaccurate data; the right to request deletion of your data; the right to restrict or object to processing; the right to data portability; and the right to withdraw consent. 8. Cookies

We use essential cookies to maintain your session and remember your preferences. We use analytics cookies to understand how you use the Service and improve the experience. You can control cookie preferences through your browser settings. Disabling essential cookies may prevent certain features from functioning correctly.

9. Children's Privacy

The Service is not directed to children under 13 years of age. We do not knowingly collect personal information from children under 13. If we become aware that we have collected data from a child under 13 without parental consent, we will take steps to delete that information promptly. If you are a parent or guardian and believe your child has provided us with personal data, please contact us.

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal, operational, or regulatory reasons.
